Privacy Policy

1. Information we collect

The service may store information entered by approved church leaders or administrators, including names, ministry roles, email addresses, telephone numbers, birth month and day, availability, Sunday assignments, assignment responses, training completion, project deadlines, announcements, event details, communication preferences, and dues status or administrative giving records.

Administrative activity may be recorded in a change history so the church can identify when a schedule or ministry record was updated.

2. Google Calendar information

When an authorized PETBC administrator connects the church Google Calendar, the service requests permission to create and update PETBC events. It uses this permission to synchronize church events and leadership birthdays selected in Bulletin Studio.

The integration does not use Google Calendar information for advertising, does not sell it, and does not share it with unrelated third parties. It looks up PETBC-managed calendar entries only as needed to update them without creating duplicates.

3. How information is used

• Create and distribute Sunday leadership schedules.
• Manage church services, events, meetings, training, projects, deadlines, and birthdays.
• Allow leaders to confirm assignments, report conflicts, and submit availability.
• Prepare church bulletins, calendar files, reports, backups, emails, texts, and push notifications.
• Maintain administrative records and protect the integrity of schedule changes.

4. Service providers and sharing

Information is shared only when necessary to provide a feature selected by the church. Service providers may include Google Calendar, Netlify, OpenAI Sites, OneSignal, PosterMyWall, Canva, and Zeffy. Each provider processes information under its own terms and privacy policy. PETBC does not authorize these providers to use church leadership information for unrelated marketing.

Information may also be disclosed when required by law or when reasonably necessary to protect the church, its leaders, or the security of the service.

5. Security and retention

Administrative functions require an approved leadership account and the private Admin sign-in. Google authorization tokens and service credentials are stored on protected server systems and are not placed in public website code. Reasonable safeguards are used to limit unauthorized access.

Church records are retained while needed for scheduling, reporting, ministry administration, backup, or legal obligations. Records and connected-account access may be removed when no longer required.

6. Your choices

Approved leaders may ask PETBC to correct or remove their directory information, birthday, communication preference, or other personal record. Google Calendar access can be revoked from the connected Google Account’s third-party access settings. Some records may be retained when necessary for church administration, security, or legal compliance.

7. Children’s privacy

PETBC Leadership Center is an administrative service for church leaders and is not directed to children under 13. The service does not knowingly collect children’s personal information through its leadership access features.

8. Policy updates

This policy may be updated as church services or integrations change. The effective date at the top of this page will be revised when material updates are published.
